UK lettings · Letting and estate agents

An AI assistant for letting agents — every enquiry answered, every viewing request captured.

For independent letting and estate agents whose negotiators spend the day answering the same questions — and whose evening and weekend enquiries wait until Monday.

The problem: the same questions, at the hours nobody is in the office

Enquiries arrive from the property portals, your website, WhatsApp and the phone, many of them outside office hours. Most are the same handful of questions: is it still available, when can I view, are pets allowed, what is the deposit, which references do you need.

Every enquiry that waits is an applicant who may book a viewing with another agent first. Every negotiator hour spent retyping answers is an hour not spent on valuations, landlords and lets.

UK small businesses are adopting AI quickly — 54% actively used it in 2026, up from 35% a year earlier, according to the British Chambers of Commerce — but smaller, consumer-facing firms lag behind. That gap is where an independent agency can get ahead.

How it works

  1. 01

    Enquiry arrives

From your website, WhatsApp or a portal lead email, at any hour.

  2. 02

    Assistant answers and qualifies

It answers from your approved property details and lettings policies, and asks the questions your team would: move-in date, household, pets, budget.

  3. 03

    Viewing requested

It offers the viewing slots you've made available and captures the request — or hands straight to a negotiator if you prefer to confirm by phone.

  4. 04

    Negotiator takes over

Your team gets a summary of every qualified lead. Anything sensitive — offers, disputes, referencing outcomes — goes to a person.

What the assistant handles

  • Availability, rent, deposit, fees, pets, furnishing and parking questions, answered from your listings
  • Qualifying questions before a viewing, so negotiators spend their time on serious applicants
  • Viewing requests captured out of hours, ready for your team in the morning
  • Landlord enquiries routed to the right person with the details already collected
  • Replies in other languages for applicants whose first language isn't English
  • A clear AI disclosure, and a person available whenever one is asked for

Built around your existing systems

The audit maps where your enquiries arrive and where they need to end up — your CRM, a shared inbox, a calendar — and we connect what can be connected. Anything that can't be automated safely is handed to your team by email or WhatsApp, with the conversation attached. We only promise the routes we have confirmed work with your set-up.

People stay in control

The AI answers routine questions from content you approve; a person approves anything sensitive, and anything the assistant isn't sure about goes to your team. Every conversation starts with an AI disclosure. See our security and AI policy pages for how we handle data under UK GDPR.

What it costs

Every project starts with an AI Workflow Audit at £1,500, credited to the build. An Assistant Launch for one workflow is £3,500–7,500 and typically goes live in 3–6 weeks; ongoing supervision and support is £249–749 a month.

For our first 5 UK clients, the founding-client programme brings the audit to £500 and the launch to £1,500 with the first month free, in exchange for a named case study.

This page describes the assistant we build; we don't yet have a published UK lettings case study. Our first 5 clients join the founding-client programme.

FAQ

Frequently asked questions

Can an AI assistant book property viewings?

It offers the viewing slots you make available and captures the request with the applicant's details — or hands it to a negotiator to confirm by phone, if you prefer. Either way, the applicant gets an answer in seconds rather than on Monday morning.

Does it handle portal enquiries?

Portal leads usually arrive by email. The audit checks how yours arrive and whether the assistant can reply to them directly or should pick them up from your inbox. We only promise the route we have confirmed works with your set-up.

Will it give tenants legal or referencing advice?

No. It answers factual questions from your approved information and hands anything involving referencing outcomes, disputes, deposits or legal obligations to a person. Guardrails keep it inside the answers you have signed off, and it says so when a question is outside them.

Is applicant and landlord data safe?

We handle personal data in line with UK GDPR and the Data Protection Act 2018, never use it to train models, and offer a Data Processing Agreement. Applicants and landlords are told they are talking to an AI assistant, and can ask for a person at any time.

How much does an AI assistant for a letting agency cost?

The AI Workflow Audit is £1,500, credited to the build; an Assistant Launch is £3,500–7,500 and supervision and support £249–749 a month. Our first 5 founding clients pay £500 for the audit and £1,500 for the launch, with the first month free.
